Britteco Ltd provides commercial fuel and oil tank services across the UK. This policy explains what personal information we collect, why we collect it, who we share it with and what rights you have over it. It applies to this website and to the information we hold about customers, enquirers and site contacts.

2. Information we collect

Information you give us

Most of the information we hold is given to us directly when you ask us to quote for or carry out work. This typically includes:

• your name and job title, and the organisation you work for;
• contact details — telephone number, email address and postal address;
• the site address and access arrangements for the work;
• details of the tank, fuel or installation and what you need doing;
• anything else you choose to tell us in an email, a phone call or a booking request.

Quote requests submitted through the “Request a Quote” buttons on this website are handled by ServiceM8, our job management system. Those requests are sent directly to ServiceM8 rather than being stored on this website.

Information we create during a job

While carrying out work we produce records that may contain personal information, such as site survey notes, photographs of the works, risk assessments and method statements, delivery and collection records, waste transfer and hazardous waste consignment notes, invoices and correspondence.

Information collected automatically

When you visit britteco.co.uk, our hosting provider records standard technical information such as your IP address, browser type and the pages you request, as part of running and securing the website. If you consent to statistics cookies, we also receive aggregated analytics about how the site is used. See section 4.

3. Why we use your information and our legal basis

Under the UK GDPR we must have a lawful basis for using personal information. Ours are as follows.

We do not use your information for automated decision-making or profiling that produces legal or similarly significant effects.

4. Cookies and website analytics

This website uses cookies and similar technologies. Cookies that are strictly necessary for the site to work are always active. Statistics and marketing cookies — including Google Analytics, Google Maps and Google Fonts — are only placed if you accept them in the cookie banner.

Your cookie preferences are recorded so that we can demonstrate what you consented to. Most browsers also let you block or delete cookies directly; blocking strictly necessary cookies may stop parts of the site working.

5. Who we share your information with

We do not sell personal information, and we do not share it for other organisations' marketing. We do share it with the following, only as far as necessary:

• Service providers who work on our behalf — our job management system (ServiceM8), website hosting and email providers, IT support, and our accountants. These act on our instructions under written terms.
• Subcontractors and suppliers where part of the work requires them, for example specialist plant hire, licensed waste carriers and disposal sites.
• Regulators and authorities where we are required to provide records, for example the Environment Agency, SEPA, NIEA, the Health and Safety Executive or HMRC.
• Insurers and professional advisers in connection with a claim or a legal matter.
• Analytics providers — Google, where you have accepted statistics or marketing cookies.

We may also share information if we are required to by law, or in connection with the sale or reorganisation of our business.

6. Transfers outside the UK

Some of our suppliers — notably Google and ServiceM8 — process data outside the United Kingdom. Where that happens, we rely on UK adequacy regulations or on standard contractual clauses together with the UK International Data Transfer Addendum, so that your information keeps an equivalent level of protection. You can ask us for details of the safeguards that apply.

7. How long we keep your information

• Enquiries that do not become jobs — normally up to two years, in case you come back to us.
• Customer and job records, invoices and accounts — at least six years after the end of the relevant tax year, as required for tax purposes.
• Waste transfer and hazardous waste consignment notes — for the periods required by waste duty-of-care legislation, and usually longer where they form part of a site record.
• Health and safety records — for the periods required by the relevant regulations.
• Website analytics — in line with the retention settings in Google Analytics.

When information is no longer needed it is deleted or securely destroyed.

8. Keeping your information secure

We take appropriate technical and organisational measures to protect personal information, including access controls on our systems, encrypted connections to this website, and limiting access to those who need it to do their job. No transmission over the internet can be guaranteed completely secure, so any information you send us online is sent at your own risk; we will, however, apply the measures above once we hold it.

9. Your rights

Under the UK GDPR and the Data Protection Act 2018 you have the right to:

• ask for a copy of the personal information we hold about you;
• have inaccurate information corrected;
• ask us to delete information where we no longer have a reason to keep it;
• ask us to restrict how we use it while a query is resolved;
• object to processing we carry out on the basis of legitimate interests;
• ask for the information you gave us to be provided in a portable electronic format;
• withdraw consent at any time, where we rely on consent.

10. Marketing

We may send occasional service information to existing business customers. Every message includes a way to opt out, and you can also ask us to stop at any time by emailing customerservice@britteco.co.uk. Opting out of marketing does not stop us contacting you about work in progress.

11. Children

Our services are provided to businesses and organisations. This website is not directed at children and we do not knowingly collect information about them.

12. Changes to this policy

We review this policy periodically and will update it when our practices or the law change. The date at the top of the page shows when it was last revised. Please check back from time to time.

13. Contact and complaints

If you are not satisfied with how we have handled your information or your request, you can complain to the Information Commissioner's Office, the UK supervisory authority for data protection: ico.org.uk/make-a-complaint, helpline 0303 123 1113.
